With Harvest for Android, you can manage existing invoices with the touch of a finger. Our mobile app allows you to view open and closed invoices, send existing invoice drafts, and record invoice payments.

A few notes:

  • Only administrators and project managers with permission to create invoices will see the Invoices section in their app.
  • Project managers have limited invoice permissions and will only see invoice drafts they’ve created up until they are sent by an administrator.
  • You aren’t able to create or edit invoices from the Harvest for Android app, only in a web browser.

Viewing Open and Closed Invoices

  1. Tap the navigation menu (three horizontal lines) at the top left of your app, then select Invoices.
  2. Your app will default to the OPEN invoices view. Here you’ll also see your total balance for all of your currently open invoices (including retainer invoices).
  3. To view closed invoices, tap the CLOSED button along the top of your screen.

Note: Open invoices include draft, sent, and late invoices. Closed invoices include paid and written-off invoices.

Sending Invoices

  1. From your open invoices list, tap the invoice draft you’d like to send. Invoice drafts will be indicated with a gray Draft under the invoice amount.
  2. Tap the Send button (paper airplane icon).
  3. Enter the appropriate contact’s email address in the To: field.
  4. By default, the body of the message will contain information about the invoice. You can make any changes you’d like to this field or add a personal note.
  5. If you’d like to include a PDF version of your invoice, make sure the Attach PDF checkbox is switched on.
  6. Tap SEND.

Tip: To manually mark an invoice as sent, tap the More Actions Menu (three dots), then tap Mark as sent.

Sending Invoice Reminders

Once an invoice is late, you can send invoice reminders to your clients in the same way you sent the original invoice:

  1. From your open invoices list, tap the desired late invoice. Late invoices will be indicated with a red Late under the invoice amount.
  2. Tap the Send button (paper airplane icon).
  3. Enter the appropriate contact’s email address in the To: field.
  4. The body of the message will include the default reminder message configured in your account. You can make any changes you’d like to this field or add a personal note.
  5. Tap SEND.

Manually Recording a Payment

  1. From your open invoices list, tap the desired invoice.
  2. Tap the Record Payment button (credit card icon).
  3. Enter the payment Amount, Date, and any desired Notes.
  4. Tap SAVE.

Sending Thank You Messages

Once an invoice has been paid, you can send a thank you message with the following steps:

  1. From your Closed invoices list, tap the desired paid invoice. Paid invoices will be indicated with a green Paid under the invoice amount.
  2. Tap the Send button (paper airplane icon).
  3. Enter the appropriate contact’s email address in the To: field.
  4. The body of the message will include the default thank you message configured in your account. You can make any changes you’d like to this field or add a personal note.
  5. Tap SEND.

More Actions: Writing off Invoices, Re-opening Invoices, and Marking an Invoice as a Draft

To write off or re-open an invoice:

  1. From your open invoices list, tap the sent invoice you’d like to write off.
  2. Tap the More Actions Menu (three dots).
  3. Tap Write off invoice.
  4. Add any desired notes to the Notes field, then tap OK.
  5. To re-open a written-off invoice, tap the More Actions Menu (three dots), then tap Re-open invoice.

To mark an invoice as a draft:

  1. From your open invoices list, tap the desired invoice.
  2. Tap the More Actions Menu (three dots).
  3. Tap Mark as draft.

Viewing Invoice History

You can view an invoice’s history by opening the invoice and tapping the orange VIEW HISTORY link below the Latest Activity. From the invoice history you’ll be able to see when a specific user:

  • Created the invoice.
  • Sent the invoice (tap VIEW MESSAGE to see the message that was sent with it).
  • Manually marked the invoice as sent.
  • Updated the invoice.
  • Wrote off or re-opened the invoice.
  • Marked the invoice as a draft.
  • Manually recorded a payment (tap REMOVE PAYMENT to remove the manually recorded payment).

The invoice history will also show when the client:

  • Viewed the invoice.
  • Made a payment.

Push Notifications

If you have notifications turned on for your Harvest for Android app, Harvest will send you notifications when an invoice is paid. These payment notifications will only go to the Account Owner and the Administrator who sent the invoice.

If you want to disable notifications for Harvest for Android, or you aren’t seeing any when you expect to, you can update notification settings easily with these steps:

  1. Tap the navigation menu (three horizontal lines) at the top left of your app, then select Settings.
  2. Three notifications options can be set here: Running timers, Invoice payments, and Reminders.
  3. To enable or disable notifications, switch the toggle button to on or off respectively.

Note: When the notification is on, the toggle button will be orange. When the notification is off, the toggle button will be gray.
